REI Pilot is software made by NerdTech AI, a company in Kansas City, Missouri. This policy explains what we collect, what we do with it, and what you can ask us to do about it. It covers goreipilot.com and the app at app.goreipilot.com, and works alongside our Terms of Service.

Two kinds of information show up here, and the difference matters. There is information about you, the customer who pays for REI Pilot. And there is information about the sellers, buyers and other contacts you put into the app. That second kind is your business record. We hold it for you and run the app on it, and we do not use it for ourselves.

What we collect

Account details: your name, business name, email address, phone number, and the logins of your team.
Billing details: what you bought, what you used, and what you were charged. Our payment processor handles your card, so we never see or store your full card number.
The contacts and deals you import or create: names, phone numbers, email addresses, property addresses, notes, tags, and the property details the app pulls in.
Phone and message records: the numbers you use, who called who, when and how long, recordings and transcripts where recording is on, and the texts and emails sent and received with their delivery status.
Usage logs: which screens you opened, what the app did, and standard server logs such as IP address and browser type.

What we do with it

We use your information to run REI Pilot for you: to show your deals, to send the messages you ask for, to place and receive calls, to work out what to bill, to answer support questions, to keep the app secure, and to improve it.

We do not sell your information, and we do not sell or rent the contacts in your account. We never market to your sellers or buyers, and nobody else gets your CRM data for their own use.

Call recording

Calls placed or received through REI Pilot can be recorded and transcribed. Recording is a setting on your account, and you decide whether it is on.

Recording law is not the same everywhere. In some states every person on the call has to be told, and in those states the app plays a short announcement before the call connects. You are still responsible for announcing your recordings the way your state and the other person's state require. We give you the switch and the announcement, and using them correctly is on you.

You choose how long recordings stay available, from 30 days up to 180 days. Past that date the app will not play it back. Transcripts and the written record of the call are kept longer, because they are part of your deal history.

Texting and opt outs

We store the content of every text sent and received through your account, along with its delivery status, so you have the whole thread and billing is accurate.

When someone replies STOP, or otherwise asks not to be contacted, the app records it and honors it. That record is kept permanently for each phone number, even if the contact is later deleted. That is the point of it. A permanent record is what stops that person being messaged again by accident months later.

Separately, if you give us a mobile number we may text you about your own account, such as a security code or a failed payment. We do not send you marketing texts. Reply STOP and we stop texting that number. What that number is used for and how to have it removed is the same as anything else here: email support@goreipilot.com.

An opt out is read for what it actually asked for. Somebody asking you to stop texting them is a texting opt out, and it does not by itself block email. Email opt outs are handled separately.

Cookies and analytics

We keep cookies to the few the site and the app need to work, such as keeping you logged in. There are no advertising cookies and no trackers. Any analytics we use is cookieless and counts visits without following people around the web.

Companies that help us run REI Pilot

Parts of the service run on other companies. Each gets only what it needs:

a payment processor, for subscriptions and usage billing
phone carriers, to deliver your calls and texts
cloud hosting and storage, where the app and your data live
property data providers, for address, ownership and sold comp information
an electronic signature provider, for contracts
AI model providers, for the drafts, summaries and transcripts

None of them is allowed to use your information for their own marketing.

Google Calendar

If you connect your Google account, REI Pilot asks for permission to see and edit your Google Calendar. We use that permission for one thing only: to create, update and show the appointments you make in REI Pilot.

We do not read your other events for any other purpose. We do not sell your calendar data or share it with anyone else, and we do not use it for advertising.

You can disconnect Google at any time from Settings inside the app. Disconnecting deletes the connection we stored, and we stop reaching your calendar from that moment.

REI Pilot's use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements. Questions about your data go to support@goreipilot.com.

How long we keep things and how to get them deleted

We keep your account data while your account is open, and afterwards only as long as we need it for our business records, our legal obligations, or a dispute. Recordings follow the window you set, and opt out records are kept permanently on purpose.

You can export your data from the app at any time, and you can ask us to delete it. Email support@goreipilot.com and we take care of it. If a person in your CRM asks to see or delete what you hold about them, we help you do it.

Children

REI Pilot is built for businesses. It is not for children, and we do not knowingly collect information from anyone under 13. If you think we have, tell us and we delete it.

Changes to this policy

If we change this policy, we post the new version here and change the date at the top. Anything meaningful gets flagged clearly.
